Administrative task automation covers many different jobs: receiving documents, copying records, checking fields, preparing quotations and updating statuses. Their risk and complexity differ. Select a first workflow with explicit rules, reliable inputs and consequences you can control.
Inventory a normal week or month
Record every step, including small transfers and corrections. For each, write its trigger, operator, inputs, decisions, systems, output, exceptions and the impact of an error. Measure a sample period rather than relying on impressions. A two-minute task repeated frequently can matter more than an occasional hour-long job; a rare but expensive error can make checking the higher priority.
Rank candidates by repetition and recoverability
Compare candidates from one to five on repetition, rule clarity, volume, input quality, system access and recoverability. Record risk separately. Good early candidates score well on predictable work and recovery while having limited consequences. A high risk score should not inflate their attractiveness.
Implicit judgement, dominant exceptions, persistently poor source data or missing ownership are reasons to narrow the scope. The system can collect information or prepare a draft while a person retains the final decision.
Define valid document inputs
For each document type, record the source, unique reference, date, amounts or quantities, mandatory relationships, status and fields requiring review. Test different layouts, poor scans, missing pages, multiple documents, handwritten additions, date and currency formats, changed templates and duplicates.
Invalid inputs should stop or reach a review queue. Guessing a missing value hides the problem. Decide where corrections belong: in the original source, an extraction rule or the operating process. Repeating the same manual correction without changing its cause creates hidden work.
Separate preparation from posting and sending
A workflow can prepare an entry or outgoing message without executing it. Define approval for sensitive changes, unexpected recipients, conflicting records, unvalidated documents and actions that are difficult to undo.
The reviewer needs the original source, extracted values, missing fields, relevant existing records and the proposed action. Approval without that context can become routine clicking rather than a useful check. After reliability is demonstrated, bounded low-risk cases may be handled differently from exceptions.
Design duplicate and partial-failure handling
Do not identify a document only by filename. Use suitable business references and system identifiers. Make visible which steps completed if a later step fails so restarting does not repeat an earlier posting or message.
Give exceptions categories and owners: missing field, unknown customer, conflicting amount, invalid status or insufficient authority. Define who may correct records, how the original remains available and whether an external action can be reversed or needs a compensating step.

Compare time per case, complete and correct preparations, corrections per field, exception counts, late-discovered errors and recovery time. A working demo is not evidence that daily administration improves.
Choose the next bounded process
Start with the handoff you want to change. For sales, map enquiry, approval and delivery handover. For purchasing, separate request, authorisation and receipt. Assign incomplete or conflicting records to an owner before automating their movement.
