API integration cost: connectors, custom work and continuing costs

Compare connector subscriptions with custom API integration price indications. Understand data ownership, exceptions, recurring costs and what to include in a quote request.

API integration cost depends on the data flow, existing options and operating responsibility. A ready-made connector subscription and a custom two-way integration are different purchases.

As checked on 6 October 2026, Bespoke Automation publishes €1,500–€5,000 for its basic one-way category and €5,000–€15,000 for its bidirectional category. CleverTech publishes €15,000–€25,000 for multi-system middleware. These are those providers' scope-based indications, not an established market average, a ceiling or OmniTechs implementation prices.

A supported connector can be a much smaller purchase. The Webwinkelfacturen Moneybird app in the Shopify App Store lists US$15.95 per month. That is a particular app subscription, billed in dollars, not the price of a freely designed integration.

Subscriptions, starting prices and project ranges are not interchangeable. Confirm taxes, licences, setup, historical imports, hosting and support directly in the quote. Dollar prices here are not converted to euros.

What work drives a custom integration budget?

Feasibility. The API must expose the required records and actions under your actual account and licence. Finding documentation is not proof that access works. Investigate the most expensive uncertainty first, such as retrieving the right records or safely creating a draft transaction.

Meaning and mapping. A webshop customer may need to become an organisation, contact and invoice address elsewhere. Define product codes, dates, amounts and statuses explicitly. “Copy all fields” does not establish the right business meaning.

Reliability. An unavailable service, invalid reference and timed-out write need different responses. Define retries, duplicate protection, stop conditions and a person responsible for recovery. A timeout may leave an action completed remotely even when the sender has no confirmation.

Delivery and handover. Identify tests, deployment location, access, bounded diagnostic evidence and documentation. A system that works only while its original developer watches it has a different operating cost from a managed flow.

Direction, freshness and volume matter

Two-way data movement needs decisions about which system owns which field. It may be simpler to send customer details from the CRM and delivery status from the internal application than to synchronise every field in both directions.

Specify how much delay the process can tolerate. Immediate updates are not automatically necessary. Count requests and actions, not only orders: one order can require lookup, validation, creation and a status check. Include peaks, pagination and applicable supplier limits.

Price historic imports separately from new transactions where they require different work. Define returns, missing codes, deleted customers and manual corrections instead of quietly assuming the normal case covers them.

Four illustrative scopes

Daily reporting in Excel: begin with a supported export, connector or read-only Power Query route. Limit the first task to a source, selected fields and refresh time. A new dashboard, cleanup and write-back are separate work. See Excel API integration.

Webshop orders to accounts: check an existing connector first. Test representative discounts, delivery charges and an agreed return with the responsible administrator. If custom work is needed, define new paid orders to draft records as one bounded flow. Historical data and stock updates are not silently included.

CRM to an internal application: define record identifiers and field ownership, including a customer already present under different local IDs. Compare two limited one-way flows with a full conflict-managed synchronisation.

A web application connected to a shipping service: scope request submission, external identifier, returned status and visible failures. New screens, roles or application functions are broader web app development. An absent interface in your own software may require separate API development.

Include monthly and first-year costs

Ask about connector or platform subscriptions, permitted API access, hosting, status monitoring, support and later supplier changes. Define what is maintenance and what is a new feature. CleverTech's published €150–€500 monthly management indication belongs to its offer; it is not a mandatory charge for every integration.

For Make, Zapier or another platform, check the current plan, billing period, included usage and overage at purchase. Tasks, operations and credits are not necessarily orders. In a purely arithmetic example, 1,000 orders with three billable actions each require 3,000 actions before additional steps or repeats. Apply the actual platform's definitions.

A fictional quote with €3,000 development, €50 monthly platform and hosting and €75 monthly management totals €3,000 + 12 × (€50 + €75) = €4,500 for year one, excluding VAT in this example. These invented values are not an OmniTechs package or market estimate.

Prepare a useful quote request

Provide systems and relevant versions or plans, the manual task, records and fields, direction, authoritative source, required freshness, volume, peaks and exception examples. Name who can arrange controlled test access, who accepts results and who follows failures.

Do not email keys or passwords in the initial request. Arrange access separately. Where personal data moves, determine the necessary fields, recipients, retention and contractual responsibilities for the actual processing; using an API or self-hosting is not a compliance certificate.

A clear first scope might send new paid orders from one shop to draft entries in one administration, prevent duplicate effects and expose rejected records. Historical orders and stock synchronisation stay outside that agreed phase. Reducing functionality is different from removing controls needed for the remaining task.

If responsibilities or the process boundary are still unclear, begin with business process automation. A reliable fixed quote needs a sufficiently defined outcome, assumptions, acceptance and exclusions.
